UK, 13th August 2002: DespatchBox today announced that leading London law firm Speechly Bircham has chosen to give its clients the option of sending and receiving emails in a secure and accountable way, fully branded to replicate headed paper communications, using DespatchBox DDX.
DespatchBox's DDX email solution enables organisations to apply a level of security to existing email solutions (MS Outlook, Lotus Notes, Novell GroupWise) that ensures the contents of email remain private and are only viewable by those they are intended for.
The exchange of electronic information has increased the speed of communications; unfortunately that speed has come at the price of information security. This has sparked debate as to best practice and liability when dealing with confidential information.
Michael Lingens, managing partner at Speechly Bircham, said: "In recent months we have become acutely aware that traditional email, despite being a widely accepted communication medium, contains inherent security flaws. All law firms deal with confidential information for which a simple email disclaimer is just not an acceptable means of protection. We decided to look for a solution that would provide security against the interception or fraudulent misuse of emails sent between our clients and us. This puts our service level a step beyond that of other law firms and provides us with a competitive advantage when talking to prospective clients".
When you send an email to a recipient external to your own organisation, copies can be left on the various servers and ISP's it passes as it makes its way through the internet. Copies are also left on the email server at the recipient's company that can often be accessed by people other than the intended recipient. When using the DDX system the sender and recipient are assured that only they are able to view the email's contents.
DDX is simple to deploy and, crucially, does not require users to download and install any software. It is designed to reside within an organisation's own environment, thus ensuring control over access and functionality is retained. Internal staff can access DDX through their current email program making it completely transparent and minimising the need for training. When a secure email is sent the recipient receives a notification that a confidential email is waiting to be collected. New recipients are 'challenged' with a question or shared secret before they can register to collect the email. The sender is notified that the email has been received and is provided with a transmission report, which includes exact delivery times for each recipient.
Speechly Bircham's deployment of DDX comes at a time when many law firms are looking to follow Law Society Guidelines* on e-mail use. These guidelines recommend that firms should not include confidential information in non-encrypted e-mail without the informed consent of clients, whether corporate or individual and warn that the Internet is an insecure medium.
